Privacy Policy

How we collect, use and protect your information.

Last updated: 27 October 2026

MEDVETS ("we", "us", "our") respects your privacy. This policy explains what personal information we collect through this website, why we collect it, how we use it and the choices you have.

Information we collect

We only collect information you choose to give us. Depending on which forms you complete, that may include:

  • Enlistment details — name, email address, phone number, city, state, ZIP code, country, the participant category you select, the ways you wish to get involved, the missions you select, your stated availability and any message you add.
  • Account details — name, email address, phone number and a securely hashed password.
  • Donation details — name, contact details, billing address, gift amount, frequency and any designation. Card details are handled by our payment processor and never stored on our servers.
  • Advocacy signups — name, contact details, state, ZIP code, the issues you select and any story you choose to share.
  • Partnership enquiries — organisation name, contact name, job title, email, phone, website, organisation type and your message.
  • Contact enquiries and newsletter signups — the details you enter on those forms.
  • Technical data — standard server logs, and analytics data if you consent to analytics cookies.

How we use your information

  • To contact you about the enlistment, enquiry or signup you submitted.
  • To place you with a mission, crew or programme suited to your selections.
  • To process and receipt donations.
  • To send mission updates, action alerts and impact stories where you have opted in.
  • To administer your member account.
  • To report aggregate, non-identifying programme outcomes to funders and partners.
  • To meet our legal, accounting and grant-reporting obligations.

What we never do

We do not sell, rent or trade your personal information. We do not share the stories you send us — including anything you write in an advocacy submission — without your separate, explicit written permission.

Sharing with third parties

We share information only with service providers who help us operate: our email delivery provider, our payment processor, our CRM and our hosting provider. Each is bound by contract to protect your data and use it only on our instructions. We may also disclose information where required by law.

How long we keep it

Enlistment and member records are retained while your relationship with MEDVETS is active and for a reasonable period afterwards for programme continuity. Donation records are retained as long as required by tax and accounting rules. You may request deletion at any time (see below).

Your rights and choices

  • Unsubscribe from any email using the link in its footer.
  • Request a copy of the personal information we hold about you.
  • Ask us to correct anything inaccurate.
  • Ask us to delete your information, subject to our legal retention obligations.
  • Ask us to stop contacting you entirely.

To exercise any of these, email info@medvets.org or write to us at the address below.

Young people

Participants under 18 may only enlist with the consent of a parent or guardian, which we collect as part of the enlistment process. We do not knowingly collect information from children under 13 without verified parental consent.

Cookies

We use essential cookies to keep the site working and to maintain your session when logged in. Any analytics or marketing cookies are set only with your consent.

Security

We use encrypted connections (HTTPS), hashed password storage, prepared database statements and access controls appropriate to the sensitivity of the data. No system is perfectly secure, but we take these obligations seriously — particularly given the health-adjacent nature of some of what people tell us.

Changes to this policy

We will post any changes on this page and update the date at the top. Material changes will be communicated to subscribers by email.
